ROI in Print Assessment Mode is designed to be moved from location to location and will capture all network printing activity at the desktop. The captured data is combined with the actual on-site costs, including yields of consumables, capital and/or lease costs (yields can be adjusted to reflect the average toner coverage color or black & white for each printer on-site). Using the wizard driven 'Site Survey' analysis tool, the total printing activity and associated cost for every User, workstation and printer can be displayed in a comprehensive report. Print Data is captured on the workstation by our ROI Agents including jobs printed via the parallel port, serial port, USB and peer to peer/IP. This means that the throughput of potentially the most expensive printing devices on the network is monitored, which would be almost impossible to do if activity was only monitored on a print server.
Installing ROI Agents across a network is a straight forward affair using ROI's unique automated distribution tool that is part of the ROI administration system. The distribution tool means that Agents can be placed on to any workstations on the network from a single point yet require absolutely no network or printer reconfiguration. Once installed, the next time a User logs in the agent is activated and starts recording data which is sent back to the central administration system as each print job occurs. ROI Agents can also be distributed utilizing any standard method of network software distribution such as login scripts and SMS.
A typical survey period is around thirty days which should give a good idea of the printing peeks and troughs. While the survey is taking place the organization being surveyed should also be providing information such as how much they are currently paying for their consumables, capital costs with amortization periods and more. In our experience the easiest way to get these costs is to provide a suitably phrased questionnaire which should be completed by the end of the survey period.
